Hot Desk Usage Terms & Office Guidelines

By booking a hot desk at 5/157 Gordon St, Port Macquarie, NSW 2444, you agree to the following terms and guidelines to ensure a professional, safe, and respectful workspace for everyone.

1. General Use

  • Hot desks are available on a shared, non-exclusive basis.

  • Bookings are valid only for the date, time, and number of desks confirmed.

  • Desks must be vacated promptly at the end of the booked period.

  • There is no life to the office which is on the first floor.

2. Behaviour & Conduct

  • This is a professional working environment.

  • Respectful dress code and behaviour are expected at all times.

  • Loud conversations, disruptive calls, or behaviour that interferes with others’ work is not permitted.

  • Any form of harassment, discrimination, or inappropriate conduct will result in immediate termination of access, without refund or credit.

3. Desk Etiquette & Cleanliness

  • Hot desks must be cleared completely after each use.

  • Do not leave personal belongings, paperwork, or equipment behind.

  • Please wipe down your desk after use and dispose of rubbish appropriately.

  • Food should be consumed neatly and respectfully; strong-smelling food is discouraged.

4. Noise & Calls

  • Headphones are recommended for calls and online meetings.

  • Keep phone calls brief and at a considerate volume.

  • If you need to take an extended or confidential call, please step outside where possible.

5. Kitchenette & Amenities

  • Kitchenette facilities are shared. Please leave them clean and tidy after use.

  • All cups, dishes, and cutlery must be washed, dried, and returned to their original place after use.

  • Personal food items must be disposed of outside of the office at the end of your booking.

  • Do not leave food, drinks, or packaging behind.

  • Report any issues, spills, or breakages promptly.

6. Guests & Visitors

  • Hot desk bookings are for the named individual(s) only.

  • Visitors are not permitted to use desks or amenities without a booking.

  • Meetings with external guests require prior approval.

7. Security & Personal Belongings

  • You are responsible for your own belongings.

  • Do not leave valuables unattended.

  • We are not liable for loss, theft, or damage to personal items.

8. Internet & Equipment

  • Our fast 500mbps internet access is provided for general business use only.

  • Illegal activity, excessive downloading, or misuse of the network is prohibited.

  • Users must not interfere with office equipment or other users’ connections.

9. Cancellations & Changes

  • Bookings are non-refundable.

  • Cancellations made at least 24 hours prior to the booking time will receive a credit for future use.

  • Same-day cancellations and no-shows will result in forfeiture of the booking fee.

  • Credits are non-transferable and must be used within the stated validity period.

10. Office Hours & Access

  • Standard access is Monday to Friday, 9:00am–5:00pm.

  • Outside hours and weekend access are available by request and confirmation only.

  • Unauthorised access outside approved times is not permitted.

11. Parking

  • Street parking is available with additional parking at Growers Market.

12. Right to Refuse or Terminate Access

We reserve the right to:

  • Refuse access

  • Terminate a booking

  • Remove a user from the premises

if these terms or office guidelines are breached.
